Drop Down Lists Tutorial in Excel 2013
Sometimes you have same data into cells all the time, you can add a drop down list for your spreadsheet. In excel we can call it part of data validation.
We will understand drop down list in excel using an example. In example we have student’s list. When you click on a cell you will see list of all students.
In the image below data has been typed manually in each cell. That is not good if you have to type it again and again, we will use drop down for our data.
1: We just need headings in cell A,B and C. but we need to type data once to put in our Lists. We can type data anywhere but not in Cells A,B or C.
2: We have typed our data into Column G,H and I.
3: Now click on column A and highlight all column.
4: Now click on DATA tab in ribbon, then in on Data Validation, as shown in image below.
5: A dialogue box will appear, there will be a drop down list in dialogue box will multiple values. Select “List” from that menu.
6: After selecting List, you will see a new field appeared name Source.
7: This Source field will determine which data will be shown in our list. You can just type cell references here or you can let excel do it for you. Click on the icon right side of the field, as shown in image below.
8: When you click on that icon, that dialogue will shrink. Now you can select all the cells which you want to be included on your list.
9: After selecting the cells, click on that icon again and dialogue box will restore in previous shape.
And you will see your selected cell’s references in source field.
10: Now click OK. You will see a drop down icon on cell A1.
11: By clicking on that icon you will see a drop down list with all the values you selected before.
12: We surely don’t have to show drop down on cell A1. We have to get rid of it, to do this click on cell A1 and then DATA > Data Validation, again a dialogue box will appear same as before.
13: Just select “Any Value” from drop down and click ok. You are done.
14: Now click on cell A2 to see drop down list.
15: You can do it for columns B and C.
